Easy To Use
Solis has been created with several things in mind; one of them is making your team’s
daily work easier and more efficient.
You may ask why do I need a system that is easy-to-use and more efficient? That
is a good question and one you probably already know the answer to. When the software
is seamless (meaning it is effortless to use and things are laid out in a logical
order), you can focus your attention on the client and what the client needs.
Have you ever been in a retail environment where you were the customer, and the
clerk was transfixed on making the system work so he/she could move you through
their line? His/her eyes were fixed on the computer screen rarely making eye contact
with you. How did that make you feel? What did it do to your overall experience
and the value you perceived?
I have been in that line on a number of occasions. Each time this happened, I felt
like I didn’t matter and that I was just a number to the business. The value of
the transaction had declined and my likelihood of returning diminished.
There are many sources out there that will tell you that good customer service is
a key ingredient to repeat customers; which translates to more revenue. So why is
it that some retailers discount using a system that is easy for their clerks so
that they can focus on the customer? I don’t know either, perhaps they are afraid
of change, or perhaps they just don’t know there is something better out there –
Solis.
I would bet that you realize that your clients are the lifeblood of your business
and by looking into ways to increase customer satisfaction will help you achieve
your business and personal goals faster. Over the next several paragraphs I will
attempt to present you with an overview of how Solis makes your team’s life easier,
giving them more of a chance to interact with your clients.

Locating Clients
In Your System Bringing up your clients on your computer system, I would think,
would be an easy task. But what I have found over 16 years in the software design
business is that many point-of-sale systems make it hard to bring up a client. They
either hide how you perform the task, or they make the window so complex that you
need a degree to understand what to do.
Now I understand the need for a complex search window for a client database and
there are times you may need to use a window like this. But by far the case can
be made for a quick and easy way to bring up your clients.
In Solis we give you the best of both worlds, a method to quickly bring up a client
and a full-blown database search window. We call the easiest method our “Quick Client
Search”.
With this method you simply start typing the clients last name. The window begins
narrowing down the possible selections and you can quickly point and click on the
correct record.
You can also search by first name, telephone number, or address. I have found that
most people like to be asked for their name rather than telephone number or customer
number; it makes it more personal that way.
To keep redundent data from occuring, Solis employes a
client check
system that will look at key elements of the client record and report on any matches
that are found. If you find the client is already in your system, you can quickly
click the client from the list. Otherwise, you can simple continue to add the client.

Release Form
Reminder
Being in the Indoor Tanning Industry, you are probably very familiar with the need
for release forms. And not just once, you need to keep the release forms current
year after year.
We have taken the burden of remembering to ask for a current release out of your
hands and put them into the software, where it belongs. After setting up the frequency
you need a release form from each client, for example every year, the system will
prompt your team automatically when a new release form is needed.
It gets even better. You can print a release form right from the reminder window
and the system inserts the client’s information into the right spots and prints
a customized release form.

Update Information Reminder
Keeping your
client’s information current (address, telephone numbers) can be challenge. You
probably have to remind your team each week to get current information from your
clients. After all, it’s this information that you will use in your direct marketing,
and other communications with the client.
In Solis, you select what frequency you want the system to prompt your clerks to
ask for current information. Some people set this value as frequent as every three
months, others a year. A good number I have seen many retailers use is six months.

Automated Monthly Membership Billing
If you have monthly memberships that require you to run a credit cards and EFTs
each month, then this next feature will be a lifesaver.
More and more tanning salons offer a monthly billing option for their clients. It’s
good for the client because they don’t have to worry about if they will have money
for their next tanning session. And it is good for the business owner because they
have recurring source of revenue whether the client uses the services or not.
If you recall the Health Club Industry, they employ almost exclusively this technique
for recurring revenue. They ramp up signups in January, and by April a good percentage
have stopped coming in, yet they are still getting their monthly fees deducted from
their checking account (by EFT or debit card).
Solis makes this process incredibly easier than doing it the old fashion way by
keeping track in a notebook. The system will run the EFT, credit cards, and debit
cards for you through the system. If a transaction is declined, the system will
try again for 4 days before marking the client accordingly. At which time, you can
call the client and get another form of payment for the monthly fee.
