Tanning a Client
One of the most basic functions of your business and the reason people come to you
- to tan. The first thing to do is to bring your customer up on the computer. This
can be done by using the customer's full name, just the first name, home telephone,
work telephone, ID number (if you supply FOBs or cards), or even their home address.
What's great is that you
can simply start typing in the text box and your client list gets narrowed down
with each keystroke.
Once you have chosen the client record, several key elements of this customer is
displayed for you (photo ID, address, available
tanning packages, notes, last time
he/she was in, and their last item purchased.
Next you choose which tanning bed the clients wants to use and select the tanning
package she/he wants to use on this sessions (if there is more than one available).
Then your client is off and tanning in just a few seconds.

What is really unique about Solis, is that we list the available beds in order of
lamp use. The top of the list being the least
number of hours on the lamps.
Many
retailers find this helpful because they want to maintain an even usage on the lamps
for similar (level) beds. This way the customers gets consistent results regardless
of which bed (of the same level) they are in.
You can get very creative in your tanning packages. You
choose
what level of beds, what days of the week, what times during the day, and how many
points / sessions / minutes to use for each tanning package.
Another
useful feature is the ability to print a "Tanning Receipt" where each time the customer
tans, he/she signs a simple receipt acknowledging the tanning sessions. This way,
the customer has a harder time saying that they didn't use all their points/sessions/minutes.
This information also tracked in the system and you can quickly pull up a list of
all the tanning sessions for the customer.
Equipment Status and Waiting List
The equipment status window will show you the current state of each of your tanning
beds: In use, delay, needs cleaning, and available. From here you can cancel a
tan, skip the delay mode, end a current tanning session and mark a room as clean.
Note: The T-Max timer has a built in clean button, that will report
to Solis when the room is clean as well.
The
client waiting list is also on this window and will show you any clients that are
waiting for a specific bed. You may have a popular high end bed that has a waiting
line during peak times. This client waiting list will show you who's first in line
for what bed. When the bed is cleaned and ready for the next customer, you simply
click on the client in the waiting list and click Start Tan.

Selling Products and Services
Another basic function, and one that is primary to success, is selling products
and services. In Solis, we have these identified as:
- Merchandise
- Services
- Packages
- Memberships
Solis had a separate transaction window, under the tanning window that lets you
sell products to one client, and tan another. While someone is fiddling around with
finding their credit card to pay for a transaction, you can easily send another
client to tan right in the middle of the transaction.
As for selling products and services, we broke the process down to three steps.
- Bring up the client
- Sell items and services
- Select the payment type
First
you bring up the client. You can bring them up a number of different ways.
- Customer's full name
- First name
- Home telephone
- Work telephone
- ID number
- Home address

Simply just start typing in the text box and Solis will begin narrowing down your
client list to match what you have typed in so far.
The
second step is to sell products and services. Selling products is as easy as scanning
the UPC on the product. Looking up a product or service is easy as well from the
search buttons on the right of the window.
A really handy feature in Solis is the ability to limit your merchandise search by
manufacturer. This way you can list all the products you sell from specific maker
- in this example "Pure Technologies". And you can also limit your search by department.
This way you can list all the "Shampoo" you sell or any other department you have
defined
.
The final step is to choose the payment type (how the customer is going to pay for
the items).
Solis gives your customer the ability to pay by cash, check, credit card, or gift
card. Note: EFTs are reserved for recurring memberships. And the
customer can split the payments between these types.
You
will notice some quick access buttons in the top-right of the window with common
tendered amounts ($5, $10, $20, $50, $100, and Full). Naturally, you can type in
the amount tendered for any of the payment types.
Solis has credit card processing built right in, so you don't have to have another
piece of equipment setting on your counter. You simply swipe the credit card with
CC swiper or keyboard with the CC swiper built-in and Solis handles the processing
of the credit card. A receipt and a credit card slip for the client to sign is produced
at the end of the transaction.
